In Queensland (QLD), a condition report is a document given to your tenants at the beginning of their tenancy that records the general state and condition of your property on a room by room basis, including fittings and fixtures.

The report is used as a reference point when tenants move out of your property to determine if there was any damage caused in the property while they were living there. The report is essential in determining whether the Bond should be paid out, or if a compensation is due to the property owner.

A copy of the Condition Report should be retained by both the tenant and landlord during the term of the tenancy, and be used during routine inspections of the property.

What is the Frequency of a Condition Report in QLD?

A Condition Report should be completed at the following times:

  • Entry Report - Completed at the commencement of the tenancy, within the first 7 days.
  • Routine inspections - at intervals throughout the term of tenancy (usually at least twice a year) 
  • Exit (outgoing) Report - At the end of the tenancy

How to Complete a Condition Report in QLD

  1. Download and print the template for QLD
  2. Visit your property and fill out the report before you tenants move in. You should describe all damage, no matter how minor and take photos of the property.
  3. A copy of the report should then be given to the tenant.
  4. A copy should then be signed by the tenant, along with their comments and any supporting evidence. This must be returned within 3 days of receiving it.
  5. The copy of the signed and completed report must be given to the tenant within 14 days.
  6. Ensure the final copy is saved by both parties and filed securely so that you can refer back to at a later date. You must keep a copy of the final Entry Condition Report for at least 12 months after the end of the tenancy agreement.

Can I customise my Condition Report?

You can customise the standard form Condition Report to provide a more comprehensive account of the condition of a rental property. This is done by including additional documents, descriptions, or photographs which supplement or further describe any points not included in the standard form. 

For example, if you notice that part of the premises is not included in the standard form report, you can add an additional document detailing the state of that part. 

Photographs are also commonly used to document and provide visual evidence at either the beginning or end of the tenancy. This practice helps clarify any discrepancies between different parties’ accounts, provides detailed information about the property itself, and helps all parties remember what condition it was in when they first moved in or out. 

These should include close-ups of any damage to highlight particular concerns as well as wide shots of each room so that all furniture and fittings can be clearly seen. 

Is a Condition Report required if I renew a tenancy in QLD?

If a lease agreement is renewed for the same premises between the tenant and landlord, a new Entry Condition Report should be completed before the second tenancy begins.

An Outgoing Condition Report will still be required at the end of the second tenancy, if it is not renewed again.
